We collect only what we need to reply to you and to do the work you ask for. Only BitsCable staff who sign in can read it, and what each person can see depends on their role. We do not sell it. You can ask to see it, correct it, delete it or stop us contacting you at any time by writing to info@bitscable.com.

Who we are
This notice explains how BitsCable, also known as BitsCable Tech (we, us), handles personal details in this app. We decide why and how those details are used, so we are the controller of them.
It covers people who send us a request, customers, people who receive a quote or project link from us, and business contacts whose details we hold from other sources. It does not cover our own staff, whose sign-in details we keep only while they work with us.
For anything about your details, email info@bitscable.com or send us a question and say it is about privacy.
What we collect
When you send a quote request, a call request or a question, we collect:
- your name and email address;
- your phone number, if you choose to give one;
- for a quote: the service you want, your budget range and a description of the project;
- for a call: the date and time you prefer, and optionally the service and a message;
- for a question: your message;
- the date and time we received it.
If we work with you, we also keep:
- your company name and any other contact details you give us;
- the project: what it is, its status, the updates we choose to show you, and notes our team writes about it;
- the quotes we send you, and what you decide. If you approve a quote we keep the full name you type, your decision and the time. If you decline, we keep your decision and any note you add;
- payment records: the amount, the date and the method. We never hold card numbers.
Whatever the reason you are in touch, our team may add notes about calls, emails and messages with you, set follow-up dates and record where your request stands.
Like any website, our servers also receive your connection address and basic technical details your browser sends, such as its type. We use them to keep the app working and to stop spam. Our hosting provider also keeps technical logs for a limited time.
We do not ask for payment card details, passwords or identity documents. Please do not put them in your message. If you pay through a payment link, the payment provider handles your card details under its own notice.
Where it comes from
Most details come from you. We also keep lists of businesses we think we can help. Details on those lists can come from public business directories and websites, our own research, people who have been our customers or contacted us before, and lists we have bought or been given.
For a business contact we may hold the business name, a contact name, an email address, a phone number, the type of business, its location, any extra details we add (for example a social media page), and notes about our attempts to reach you and your answer, such as no answer, interested or not interested.
You did not fill in a form to be on one of these lists, so we explain it here and when we first contact you. Ask us where we found your details and we will tell you. We keep these details apart from the requests visitors send through the app, and we use them to contact you about our services and to keep a record of that contact.
Why we use it
- To answer you and prepare a quote. You asked us to, and we need your details to do it.
- To arrange a call. A call request is only a request until we confirm it with you.
- To run your project and keep you updated, if you become a customer. This is needed to carry out our agreement with you.
- To contact businesses about our services. We do this because it is reasonable for a business to tell other businesses about services that may help them. We use business contact details only, and we stop when you ask.
- To keep the app safe and free of spam, which is in our interest and yours.
- To keep records we are required to keep, such as accounts and tax records, if you become a customer.
Where the law says we need your consent for something, we ask for it, and you can take it back at any time. That does not affect what we did before.
We do not use your details for advertising to the public. We do not make decisions about you using only automated means. The spam check described below is automated, and if it wrongly stops you from sending a request, email us and we will deal with it.
How we contact you
We may contact you by email, phone call, text message or WhatsApp. Our team does this by hand. The app does not send marketing messages by itself.
- If you asked us to use a particular channel, we use it. We use WhatsApp only if you asked us to, or you have already messaged us there.
- Otherwise we write by email first, then phone.
- If you ask us to stop contacting you, we stop, and we keep you off our lists from then on. If you ask, we also delete your details.
Who sees it
Your request is stored in our database and can be read by BitsCable staff who sign in to the staff area. What a person can see depends on their role. For example, a sales representative sees only the requests assigned to them. We can switch off a staff account at once.
We use service providers who handle details for us and only for that purpose:
- Cloudflare hosts the app and its database, delivers its pages, runs the spam check on the request form and keeps network security records.
- Resend sends the emails the app sends: an alert to our team, a receipt to you, and project updates. It handles your email address and the content of those emails to deliver them. The alert to our team names only the kind of request, the receipt uses your first name, and project emails point to a link you already have.
- Google provides the typeface on our public pages through Google Fonts.
- If you pay through a payment link, the payment provider handles the payment. If we speak by phone or WhatsApp, the phone company or WhatsApp handles the call or message under its own terms.
We do not sell your details and we do not share them for advertising. We share them with others only if the law requires it, to protect people or prevent fraud, if you ask us to, or as part of a sale or reorganisation of our business, in which case the new owner must keep to this notice.
Other countries
Our providers run services in several countries, so your details may be processed outside the country where you live. We use providers that protect data to a recognised standard. Where the law requires it, we rely on approved contract terms or other safeguards for these transfers, and we share only what is needed.
Cookies and other companies
- Cookies. Our public pages (Home, Services, Our work, this notice and the terms) do not set cookies and do not save anything in your browser. A cookie is used only when our staff sign in, to keep them signed in for 12 hours. The spam check on the request form is described below.
- Spam protection. The request form has a hidden field that people do not see, and a limit on how many requests one internet connection can send in an hour. To apply the limit we use the address of your connection, which we may keep for a short time, never longer than 30 days.
- The Cloudflare check. When you open a request form, your browser loads a check from Cloudflare (Turnstile) that tells people from automated programs. It looks at signals from your browser and connection and may use your browser briefly while it runs. Cloudflare handles those signals under its own privacy policy. We receive only a pass or fail result, and we do not use it for advertising or to follow you around other sites. The check does not run on the launcher, Services, Our work or this notice.
- Fonts. The public pages load their typeface from Google Fonts, so Google receives your connection address when a page loads. The private project and quote pages do not do this.
- Links to other sites. Our demos and case studies open on other sites, which have their own privacy notices.
Project and quote links
If we build something for you, we can send you a private link to see how your project is going. The link shows the project name, its current status and the updates we chose to show you. It does not show our internal notes or anyone else's project. Project links can also show what you have paid and what is left, but only when we switch that on for your link.
We can also send a private link to a quote, where you can read it, approve it or decline it. To approve, you type your full name. We keep your name, your decision and the time as a record of what you agreed.
Anyone who has a link can open it, so share it carefully. We can turn a link off or replace it at any time, and a link can have an end date. These pages load nothing from other companies and keep nothing in your browser.
How long we keep it
- Requests that do not lead to work, and business contacts from other sources: 12 months after our last contact with you, then we delete them.
- Customers and projects, with their quotes, notes, updates and payment records: while we work together and for six years after the work ends, because we may need them for accounts, tax, contracts and disputes. After that we delete them.
- Records that an email was sent: they hold no address, name or message, and are deleted with the request or project they belong to.
- A do-not-contact list: if you ask us to stop contacting you, or to delete your details, we may keep a scrambled form of your email address or phone number (not the address or number itself) so that we do not add you to a list again. It cannot be read back into an address or number. We keep it until you ask us to take you off it.
- Spam-control records: no longer than 30 days.
- Staff sign-in sessions: 12 hours.
- Project and quote links: they stop working when they end or when we turn them off. We store only a scrambled form of each link.
If you ask us to delete your details sooner, we will, except for records we must keep by law. We tell you if that applies.
Your rights
You can ask us to:
- tell you what we hold about you and give you a copy, in a common format where you gave us the details yourself;
- correct anything that is wrong;
- delete your details;
- stop or limit how we use them;
- object to a use, including our contacting you about our services;
- take back any consent you gave, which does not affect what we did before.
Email info@bitscable.com or send us a question and say what you want. We may ask you to confirm who you are before we act, so that nobody else can see or delete your details. We reply within 24 hours and complete your request within 30 days.
If you are not happy with how we handle your details, please tell us first so we can put it right. You may also complain to the data protection authority in the country where you live or work.
If you live in the United States
Some states, such as California, give residents rights over their personal information. In the last 12 months we have collected the kinds of information described above: identifiers (name, email address, phone number and connection address), commercial information (requests, quotes, projects and payment records), business contact details, and what you tell us in messages. We collect it for the reasons given under Why we use it.
We do not sell personal information, and we do not share it for advertising across other sites. You can ask us to tell you what we collected, give you a copy, correct it, delete it or limit how we use it, and we will not treat you worse for asking. Email info@bitscable.com. You may ask someone to act for you; we may ask them for proof and ask you to confirm who you are. We do not follow you across other sites, so we do not act on do-not-track signals.
Security
Staff areas need a sign-in, and what staff can see is checked on our server, not only on the screen. Project and quote links are long random codes and we store only a scrambled form of them. Requests pass over an encrypted connection. No system is perfectly secure, so we also limit who can read your details. If a problem affecting your details happens, we tell you and the authorities as the law requires.
Children
This app is for businesses and adults. We do not knowingly collect details from anyone under 18. If you think a child has sent us details, tell us and we will delete them.
Changes
If we change this notice, we change the date at the top. If a change affects how we use details you already gave us, we tell you.
